Working with cases.
Cases organize evidence, participants, and exports for each legal matter.
Creating cases
Cases are the foundation of Family Evidence. Each case contains all evidence, participants, and documentation for a specific legal matter.
To create a new case
- Click "New case" from your dashboard or sidebar
- Enter a case name (e.g., "Smith v. Smith" or internal reference)
- Optionally add:
- Case number: Official court docket number
- Court/jurisdiction: Where the case is filed
- Description: Brief notes for your reference
- Click Create case
Best practice: Use consistent naming conventions across your practice. Consider including client initials and case type (e.g., "ABC — custody").
Managing cases
Access case settings to update details, view activity, and manage participants.
Case dashboard
Each case has a dedicated dashboard showing:
- Evidence count: Total files uploaded
- Recent activity: Latest uploads and actions
- Participants: Who has access
- Export history: Previous exports
Editing case details
- Open the case and click the gear icon or "Settings"
- Update any field (name, number, description, etc.)
- Save changes — updates are logged in the audit trail
Case status
Cases can have the following statuses:
- Active: Normal state, all features available
- Archived: Read-only, preserved for records
- Pending: Awaiting client setup
Case access and permissions
Control who can view and contribute to each case with granular permissions.

Privacy settings
- Standard: All firm members with appropriate roles can access
- Private: Only explicitly invited participants can access
- Confidential: Additional audit logging, limited access
Archiving and deletion
When a case concludes, you can archive it to preserve records while keeping your active list clean.
Archiving a case
- Open case settings
- Click "Archive case"
- Confirm the action
Archived cases:
- Become read-only (no new uploads)
- Remain searchable and exportable
- Don't count toward your active case limit
- Can be restored at any time
Restoring archived cases
- Go to Settings → Archived cases
- Find the case and click "Restore"
- The case returns to active status
Case deletion
Cases cannot be fully deleted — this is by design to maintain evidence integrity. Archived cases are retained per our data retention policy (minimum 7 years).
